How To Prioritize When Everything Feels Important
Guide to prioritizing when it all needs done asap:
- Take a Step Back:
- When you’re feeling overwhelmed, it’s important to take a moment to pause and breathe. Step back from the situation and give yourself some space to clear your mind.
- Taking a step back allows you to remove all the individual tasks from the front of your mind. That way you can look t the bigger picture and determine what will help you achieve those bigger, long term goals. Because those are the most important tasks at the end of the day and taking the step back can help you see that.
- Assess the Situation:
- Take stock of everything that’s on your plate. Write down all the tasks, projects, and commitments that are vying for your attention. Seeing everything laid out in front of you can help you get a clearer picture of what needs to be done.
- Treat this step as more of a brain dump though. Don’t worry about prioritizing or numbering the tasks. Just get them all written down so you can make sure you have a full idea of all the tasks that you need to accomplish.
- Identify Your Priorities:
- Once you’ve listed everything out, identify which tasks or projects are most important and urgent. These are the things that require immediate attention and should be tackled first.
- To help with this try adding a deadline or due date to each of the items on your list above. Those dates alone can help with assigning the order you do the tasks.
- If the dates are similar or not relevant I recommend next adding the approximate time each task will take you to complete. That way you can at least plan based on the timing!
- Consider Your Values and Goals:
- Reflect on your values and long-term goals. Which tasks align most closely with these values and goals? Prioritize those tasks that will have the greatest impact on your overall well-being and success.
- If you don’t already have long term goals written down then pause what you are doing and make that goals list! Envisioning what you want your future to hold is essential to prioritizing your daily tasks.
- Break It Down:
- Break down larger tasks or projects into smaller, more manageable steps. This can make them feel less overwhelming and help you make progress more easily.
- Thankfully those smaller tasks should be easy to prioritize because there should be a reasonable order that you would naturally take to complete each task.
- Use a Priority Matrix:
- Consider using a priority matrix or Eisenhower Box to help you categorize tasks based on their urgency and importance. This can provide a visual representation of where you should focus your efforts. I won’t say that it usually comes to this but it could be necessary depending on your task load and how you handle the steps above!
- Set Boundaries:
- Learn to say no to tasks or commitments that are not aligned with your priorities or values. Setting boundaries allows you to focus your time and energy on the things that truly matter to you.
- For more about saying no please read this guide linked here!
- Focus on One Thing at a Time:
- Trying to juggle multiple tasks at once can lead to decreased productivity and increased stress. Instead, focus on one task at a time and give it your full attention until it’s completed.
- When your brain is switching between tasks it actually takes you longer to complete each of those tasks than if you were just focusing and completing one task at a time. Multitasking is a lie! When your brain is switching between tasks there is down time (only seconds but it adds up quickly!) that slows you down. And then when your brain has to determine where you left off that also slows you down.
- Practice Self-Care:
- Remember to take care of yourself amidst the chaos. Make time for activities that recharge and rejuvenate you, such as exercise, meditation, or spending time with loved ones.
- Burning out is the worst thing that can happen to productivity and accomplishing your tasks. So it is essential for your wellbeing and productivity to take care of yourself and not let yourself get fully burnt out.
- Reevaluate Regularly:
- Priorities can shift over time, so it’s important to regularly reevaluate and adjust as needed. Check in with yourself frequently to ensure you’re still focusing on the right things.
- Life changes, things change. So don’t be afraid to reevaluate when things change even if it is a slight change!
